How to Book a Place
Term and Holiday Sessions (new and regular children)
If you are considering booking a place for your child/children at the club, you will be able to arrange to come along with your child to see how the club is run and what we have to offer. This visit will allow yourself and your child to become acquainted with our friendly staff and children. It will also give you a chance to ask any questions you may have.
You will be given an “Application Form Pack” to read, after which you will be asked to complete. During this time you will be asked, which days you would like your child to attend the club, and arrange a starting date with the staff.
You must return 'ALL' requested forms back to the club, prior to your child starting, fully complete and duly signed.
Places:
Ouch Pouch Childcare Limited is registered for 24 children per session.
Places at the club may be booked on a regular or occasional basis, although we would like to encourage regular pre-booked sessions. Although we aim to provide a service that is as flexible as possible which will suit everyone’s needs, places will be given on a first come first served basis in line with our Admissions Policy. In the case of a waiting list places will be awarded in date of application.
A member of the Club staff will take the bookings, which can be done either in person or over the telephone, (No email bookings accepted – THANK YOU). Ideally 48 hours notice is required, but wherever possible we will try to accommodate late bookings.
'Children benefit greatly from highly effective relationships between parents and staff. Parents are provided with a comprehensive range of written polices and procedures. They are fully informed about the setting and their child through information leaflets, policies and activity plans. Parents take a positive approach to being actively involved in their child's learning and development, for example as they participate in themed days and events. They are able to contribute their ideas and suggestions through responding to service questionnaires, and record comments confidentially. They speak very highly of the provision and consider that their children are happy and are always keen to attend. They say staff are very friendly and supportive and the range of activities and trips provided is excellent'.
We must insist on a booking in system in order for us to comply with OFSTED and so we are aware of who is expected to attend on what days. This assists us with our planning activities and for the safety and well being of your child. Any child who attends without prior notification will NOT be turned away, but a telephone call will be made to check that you wish for your child attends and a surcharge of £6.00, in addition to the regular fees will be made. This is to ensure we operate under the correct staff/child ratio and to cover 'ALL' legislation.
Booking a Holiday Session:
We have designed a booking form to give us your instructions of the days/sessions you require over the holiday period.
This form needs to be completed and returned to staff prior to your child attending, without it we can not guarantee a booked place.
Our cancellation charges will apply if your child doesn’t show, If your child doesn’t show and a week’s notice hasn’t been given, the sessions booked will be charged for.
We need 1 week’s notice to cancel sessions that you book during all school holidays, failure to do so will result in a full session fee being imposed for the day/s your child’s was booked in for and absent.
Cancellation fees due to illness will not be applied unless notification of absence is given. This notification includes a letter from a doctor/medical practitioner. If you can’t produce a letter, then ½ a session fee WILL apply. No refund of fee’s will be given, but any differences will be applied to your account!

Settling Period:
We offer a settling period, were parents, carers and children can come to the club for a trial period, perhaps for a session either term or holiday time. We give you this opportunity for ½ a session fee either term or holiday time. Please inform staff at the time of booking. The half price offer applies to all sessions to term or holiday time and your ‘first’ session only. A ½ price session form is contained with your registration pack and this must be completed in order for the discount to be applied.
Retainers:
As many of our parent/carers use other services i.e. school activities etc and your child would normally be with us, we need to be able to keep your child’s place open. So to guarantee your place, we charge ½ a session fee for each day or session your child is absent. So basically what does this mean? Simply, if your other service was cancelled at short notice and you therefore needed us, and we were full, we wouldn’t be able to accommodate your child. This is based on not paying the retainer fee. This also doesn’t apply if your child wouldn’t normally be with us. When your child comes to the club after such activity, we charge the full session fee until your child is collected. But, if you paid the retainer fee, your place would be 100% Guaranteed (If we fail to keep a place, then you get the same session absolutely FREE).

TERM TIME: The club requires 48 hours notice to be given if you wish cancel a session. If this notice is not given, a ‘full’ session fee will be imposed.
HOLIDAY TIME: The club requires 1 week’s notice to be given if you wish to cancel a session, failure to do so will result in a full session fee being imposed for the day/s – session your child’s was booked in for and absent.
